[O2K7] New File Format

Beste Mede Tweakers,

Inmiddels zijn we binnen ons bedrijf langzaam aan het upgraden naar de Office 2007 variant. Na een aantal problemen met GPO's enz zijn we inmiddels tot een passende installatie gekomen en gaan we de Pilot fase in.

Ik heb even op internet zitten spitten wat er al bekend is over het gebruik van het nieuwe bestandsformaat maar kan hierover weinig vinden. Ik bedoel dus het GEBRUIK (door de gebruiker) van het nieuwe bestandsformaat. Hoe gaan bedrijven om met communicatie naar buiten. Zonder compatibility Pack kun je tenslotten geen O2K7 bestanden openen. Ik ben hier vooral benieuwd wat de ervaringen van jullie zijn en misschien kunnen we hier in ieder geval een stukje over openen in de FAQ straks..

Acces 2007:
Databases created using Access 2000, Access 2002, and Access 2003 do not need to be converted for use with Office Access 2007. You can open the databases and modify data and object design in Office Access 2007. You can convert databases from MDB file format to ACCDB file format to enable new functionality.

The following features are available only with databases that are in Office Access 2007 ACCDB file format. To use these features with existing databases, you must first convert the databases to Office Access 2007 ACCDB file format.
- Complex data (multi-valued data types)
- Attachment Date type
- Append Only Memo fields
- Compressed image storage for any Picture property
- E-mail database as attachment
- Publish database to a Document Library in Microsoft Office SharePoint Server 2007
- Full support for Linked Tables to Office SharePoint Server 2007
- Offline support for Linked Tables to Office SharePoint Server 2007
- Linked Tables to files in ACCDB format
- Encrypt with database password

Features available only in MDB file format
The following features are available only with databases that are in Access 2003 or earlier MDB file format. They are not available with Office Access 2007 ACCDB file format.
- Ability to open the database with previous versions of Access
- Object Level Security (also known as Workgroup Security)
- Database replication
- Encode database (replaced with Encrypt with database password)

Features no longer available in Office Access 2007
The following features are no longer available in Office Access 2007:
- Data Access Pages (DAPs) cannot be opened using Office Access 2007.You must use Access 2003 or earlier to create or make design changes to DAPs. To browse DAPs, you must use Internet Explorer. To browse Access 2000 DAPs, you must install Microsoft Office 2000 Web Components, which installs with Access 2000. To browse Access 2002 and Access 2003 DAPs, you must install Microsoft Office XP Web Components, available at Office XP Tool: Web Components (http://go.microsoft.com/fwlink/?LinkId=36954).
- Microsoft Office XP Web Components is not installed with Office Access 2007. Forms in PivotTable or PivotChart view still function correctly. Databases with references to OWC10.DLL point to the new OFFOWC.DLL. The new OFFOWC.DLL does not support all of the functionality in OWC10.DLL. In some cases, you might need to download and install the Microsoft Office XP Web Components.

- Toolbars used in previous Access versions are not used by default. They are used only if the following Startup options are configured:
- The Allow Built-in Toolbars option is disabled
- A default menu bar is specified.
- The user interface for toolbar and menu customizations is removed and replaced by the new ribbon. The toolbars and menus can be modified in previous versions of Access or by using the VBA object model or macros.
- The user interface for some early import and export formats is removed. There is no user interface to export to ASP or IDC/HTX. There is no user interface to import files from Lotus 1-2-3/DOS (*.wj*) or Exchange. Code and macros created to work with these formats continue to work.

Changes in Office Excel 2007
There are three fundamental, architectural differences between earlier versions of Excel and Office Excel 2007. These changes include:
- The new Open XML Formats.
- A significantly expanded grid.
- A results-oriented user interface that provides many single-click commands.

New file formats
Microsoft Office Word 2007, Microsoft Office PowerPoint 2007, and Office Excel 2007 use the new Ecma Office Open XML Formats. Distinct from the binary-based file format of previous versions of Microsoft Office, the Open XML Formats are compact and robust file formats that enable better data integration between documents and back-end systems. The Office Open XML Formats is an open standard developed by Ecma International in collaboration with many technology vendors. The standard maximizes interoperability in a heterogeneous environment, enabling technology providers to integrate the files created in the 2007 Office release into their solutions.

After installation of the 2007 Office release, users will still be able to open, edit, and save workbooks that were generated in the earlier binary file format. These workbooks can be converted to the Open XML Formats, which will enable better interoperability among applications from different vendors and make the Open XML Formats a better long-term solution. To convert a workbook from an earlier format to the Open XML Formats, click on the Microsoft Office Button, then click Convert. Caution:
Before your organization converts any existing workbooks to the Open XML Formats, users should take into account any existing links between workbooks. Because earlier versions of Excel cannot update links to workbooks saved in the Open XML Formats, all linked workbooks should be simultaneously converted.

Larger grid size
With the larger grid available in Office Excel 2007, users can develop more elaborate and detailed workbooks than ever before. More than 16,000 columns and 1 million rows are now available to populate with data, formulas, charts, tables, and more.

However, the larger grid is incompatible with earlier versions of Excel. This means that any data entered into cells outside the previous grid boundaries (A1:IV65536) will be permanently deleted when the workbook is saved as an Excel 97-2003 workbook. All formulas referencing cells outside the previous grid boundaries will also be compromised. Therefore, users of Office Excel 2007 who plan to share workbooks with people who are still using an earlier version of Excel should not enter data outside the grid boundary of the earlier version. Alternatively, users can employ Compatibility Mode, which helps mitigate these issues by regulating the larger grid size to match that of earlier versions of Excel.

Het lijkt wel of zelfs hier niemand met de nieuwe Office Suites te maken heeft binnen het bedrijfsleven.

Heeft er al iemand op hun werk of school Office 2007 voorbij zien komen..??

Ja bij een klant. En daar staat standaard de compatibility mode aan omdat er anders constant geklaagd wordt door externe mensen dat ze de bestanden niet kunnen openen.

Nope,

Wij zijn gewoon overgestapt naar OpenOffice, wat in weze het zelfde probleem met zich mee brengt.
Bij lang lopende contacten mailen we de andere partij een link naar de openoffice plugins voor office, en bij niet zo lang lopende contacten sturen we een PDF of .doc (2k / xp).

Er zijn niet echt betere oplossing, want als die er wel waren vallen de barrières om OpenOffice te gebruiken weg en dat is niet in "the best interest of MS"

Wij hebben de compatibility pack geinstalleerd resp. hebben Off2k7 draaien. Zo kunnen we het tenminste wel lezen. Maar omdat de meeste externe partijen het niet kunnen lezen, gaat alles in .doc etc. (of vaker: .pdf).

Het Pilot Script is inmiddels klaar en we hebben op elk werkstation het Compatibility Pack reeds uitgerold.

De conclusie uit dit hele verhaal is dat we in ieder geval de volgende dingen zullen moeten gaan aangeven.
- Gebruikers informatie geven over het nieuwe bestandsformaat, uitleggen wat belangrijke nieuwe mogelijkheden zijn.
- Gebruik van nieuwe opties zijn alleen mogelijk als er wordt opgeslagen in het nieuwe bestandsformaat, als hier het oude bestandsformaat wordt aangegeven bij opslaan zal er een melding tevoorschijn komen met hierop de mededeling dat er bepaalde opties niet worden ondersteund in het oude formaat.
- Standaard zal er worden opgeslagen in het oude formaat gezien dit in de communicatie het makkelijkste is
- Bij versturen van office documenten in het nieuwe formaat naar externe mensen (klanten) kan het voorkomen dat de ontvanger het document niet kan openen. Dit moet dan worden opgelost door voor het versturen op te slaan onder het oude office bestandsformaat, of het Compatibility Pack te installeren op de pc van de ontvanger. Dit kunnen we aangeven in onze standaard handtekening, middels een link hiernaar


We gaan dus standaard via GPO aangeven op te slaan in oude formaat. Later dit jaar of ergens volgend jaar (afhankelijk wat de rest van de wereld doet) over naar het nieuwe formaat.

Dat zou ik niet doen in een standaardhandtekening. (Alleen al omdat men een dergelijke handtekening toch niet leest). Als er een keer semi-bewust in het .docx formaat wordt verstuurd, kan het er beter met de hand bij worden gezegd (pas op: de gratis compat. pack is nodig). Ook begint het beetje bij beetje wel bekend te worden dat er nieuwe formaten zijn.

Overigens zie ik wel de voordelen in van de nieuwere XML-gebasseerde bestandsformaten, of het nu het OOo of het MS formaat is.

- Wellicht is versturen in PDF ook nog een belangrijk punt. Want met de "Save to PDF and XMS" add-in voor Office 2007 kun je dit dus zonder extra applicaties gewoon vanuit Office. (vroeger moest je nog externe sw aanschaffen. Versturen in PDF staat ook en stukje profi..
